Australian workers are entitled to receive statement of earnings for each pay period in the form of a payslip. A payslip provides employees with a convenient summary of earnings for each pay period and can also detail information such as leave and Rostered Day Off entitlements.

Payroll administration including the production of payslips, is a detailed and time consuming task. State and federal legislation generally require that the following details are included on a payslip:

Along with the company name the payslip should also include the:

  • Employee’s name;
  • Employee’s classification or award;
  • Pay Period relating to the payment;
  • Pay Date;
  • Gross amounts including details of overtime and allowances;
  • Amount of PAYG deducted;
  • Deductions, including employee contributions for superannuation;
  • Net amount paid.

Due to a change in legislation in New South Wales and Queensland, payslips issued to employees need to include your company name and ABN. Employers in other states, employing and paying staff in New South Wales or Queensland also need to comply with this new regulation. This change is the result of employees losing their entitlements when dummy companies, holding no assets, have shut down. Employers can be fined up to $2,200 for each payslip and offence if they do not comply.

When you consider the detail involved in payslips, it is little wonder that many small to medium businesses are choosing to outsource the production of payslips and other payroll functions.

Managers of small to medium businesses are constantly seeking new ways to improve the efficiency of business processes, the productivity of staff and at the same time keep pace with technological change. One approach is to focus on core functions and outsource work that is not central to the main purpose of the business.

Outsourcing is increasingly being recognised as a mechanism which allows small to medium businesses to benefit from up to date systems which work efficiently whilst at the same time reducing capital spending. The outsourcing of cumbersome administrative tasks such as payroll provides businesses with the added reassurance that the payroll function is being handled by specialists within the area.

With less distraction away from core business activities, management is able to devote time to other aspects of their business allowing greater accountability, flexibility and more cost effective use of resources.
